Rental T&C

These Terms & Conditions apply to all equipment rentals conducted by Meetupvide Ltd. (hereafter referred to as the “Lessor”) to individuals (hereafter referred to as the “Lessee”) in the United Kingdom. By signing the rental agreement form or submitting it online, the Lessee confirms full acceptance of the following terms:
1. Identification & Eligibility
1.1 The Lessee must be at least 18 years old and provide a valid government-issued photo ID (passport or driving licence).
1.2 The ID must be photographed or scanned and submitted before any equipment is released.
1.3 The Lessor reserves the right to decline a rental at their discretion, without providing justification.
2. Booking & Payment
2.1 Rental fees must be paid in full prior to equipment release.
2.2 No equipment will be handed over without completed documentation, valid ID, and full payment.
2.3 Payment methods accepted include bank transfer, cash (in person), or other agreed-upon forms.
3. Rental Period
3.1 A standard “1-day rental” means a continuous 24-hour period or less, starting from the time of collection.
3.2 Pick-up and return must occur between 09:00 and 21:00 at the designated location (10 Elgin Road, First Floor Flat, Croydon, CR0 6XA).
3.3 Late returns beyond 24 hours without prior agreement may result in daily late fees or escalation to civil or criminal proceedings.
4. Use of Equipment
4.1 The equipment must only be used for lawful purposes and by competent individuals.
4.2 Sub-renting, loaning, or using the equipment outside the UK without written permission is strictly prohibited.
4.3 The Lessee agrees to operate the equipment with due care and not modify or tamper with it in any way.
5. Loss, Theft or Damage
5.1 The Lessee accepts full responsibility for the equipment during the rental period.
5.2 In the event of loss, theft or irreparable damage, the Lessee agrees to reimburse the Lessor the full replacement value listed in the rental agreement.
5.3 Any damage or malfunction must be reported immediately. The Lessee must not attempt repairs without the Lessor’s written consent.
5.4 Theft or disappearance of equipment will be reported to the police. All personal details and CCTV footage will be submitted as evidence.
6. Condition of Equipment
6.1 All equipment is tested and documented prior to handover.
6.2 Upon return, the equipment must be in the same condition (clean, functional, complete with all included accessories).
6.3 The Lessor will inspect the returned equipment within 48 hours and notify the Lessee of any issues.
7. Insurance & Liability
7.1 This rental does not include insurance. The Lessee is responsible for insuring the equipment if needed.
7.2 The Lessor is not liable for any injury, loss, or damages arising from the use or misuse of the equipment.
7.3 The Lessee is responsible for understanding how to use the equipment safely and correctly.
8. Cancellation & Refund Policy
8.1 Cancellations made more than 24 hours before pick-up may be refunded at the Lessor’s discretion.
8.2 Cancellations within 24 hours of the agreed collection time are non-refundable.
8.3 No refund will be issued for early returns or unused rental periods.
9. Security & Surveillance
9.1 The pick-up and return location is under 24/7 CCTV surveillance.
9.2 Video footage is stored for 60 days and may be shared with law enforcement if required.
9.3 The Lessee consents to this recording by participating in the rental.
10. Data Protection (GDPR)
10.1 Personal data (name, contact, address, ID photo) is collected solely for the purpose of fulfilling this rental contract.
10.2 This information will not be shared with third parties unless legally required (e.g. in case of loss/theft).
10.3 Data will be stored securely and deleted within 80 days of rental completion unless the equipment was lost, damaged, or stolen.
10.4 By checking the optional box, you consent to your data being retained for future bookings for a period longer than 80 days (up to 12 months). You may withdraw this consent at any time.
11. Disputes & Jurisdiction
11.1 This agreement shall be governed by and interpreted in accordance with the laws of England and Wales.
11.2 In the event of a dispute, both parties agree to attempt to resolve the matter informally before pursuing legal action.
11.3 The Lessor reserves the right to report unpaid equipment returns or damages to the police or initiate civil claims.
